The role
We are hiring a Hospitality Coordinator to serve as AARO’s centralized coordination hub across our multi-property portfolio. You work from our Houston office and service all properties virtually. Your job is to make sure every employee across every hotel is properly onboarded, trained, certified, and tracked, and that HR and operational items get organized and routed to the right people. This is a coordination role. You track, organize, follow up, and route. You do not make hiring decisions, conduct investigations, handle discipline, or determine claim outcomes.
What you will do
Process new hire onboarding across multiple ADP RUN accounts and follow up on outstanding items. Assign and track mandatory training across Traliant, National Course Portal, 360training, and brand portals including IHG Merlin, Hilton University, and Marriott MGS. Run weekly compliance audits, reconcile rosters, flag overdue and expiring certifications, and keep the Monday.com tracker current. Send weekly compliance summaries to each GM and execute the escalation protocol for incomplete training. Manage the rolling certification renewal cycle and produce monthly compliance reports per property and portfolio-wide. Deactivate separated employees across all platforms within 48 hours. Conduct mock brand QA audits to keep every property audit-ready.
Also in scope
Manage job listings and route applications to the correct GM, with initial phone or video screening before the GM’s time is spent. Maintain the performance review calendar and track completion. Receive incident reports and workers’ comp claims, organize complete documentation packages, and route them to the right party while tracking every open item to resolution. Track recurring property deadlines such as license renewals and insurance certificate expirations. Send a weekly email to all portfolio employees covering training reminders, recognition, safety, and milestones.
What we’re looking for
At least 2 years of HR administrative, training coordination, or hospitality operations experience. ADP experience (RUN or Workforce Now). Experience administering a learning management system. Strong organizational skills and persistent follow-up across multiple properties. Professional communication, including enforcing deadlines with GMs who do not report to you. Comfortable working independently. Hospitality and multi-property or multi-state coordination experience strongly preferred, along with familiarity with Traliant, 360training, or a major hotel brand learning portal and Monday.com.
First 90 days
Complete a baseline certification audit across all properties. Build and validate the Monday.com compliance tracker. Establish the weekly GM compliance cadence. Complete one mock QA audit per brand. Set up the performance review calendar and the workers’ comp and employee relations routing workflow. Document SOPs for every recurring process.
Compensation and benefits
Base salary $50,000 to $65,000 depending on experience. Paid time off. Health insurance. 401(k) coming soon.
